Summary of Role

The Data and Reporting Analyst gives Ultra's leadership direct, reliable access to the numbers that run the business. The analyst turns payroll, accounting, Salesforce, and Projector PSA data into structured Excel datasets, pivot tables, and reports that leadership can use, refresh, and trust, replacing static snapshots and one-time extracts with live, documented reporting. This is an independent contractor (1099) engagement, with an initial build followed by ongoing maintenance and analysis.
The analyst works with Ultra's leadership to decide what the business needs to see, defines the underlying structure (the dimensions, such as department, GL account, date, client, and sales executive, and the facts, such as hours, quantities, and dollar amounts), and builds reporting on top of it. Initial priorities are lead and bookings reporting from Salesforce, a payroll compendium built from payroll register data, and finance and forecast reporting that combines accounting data with Projector PSA data. The role requires comfort analyzing data, spotting what does not add up, and explaining what the numbers mean in plain language.

Primary Responsibilities

Data Foundation and Reporting Design

  • Meet with leadership to understand the questions they need answered, and define the dimensions (such as department, GL account, date, client, project, and sales executive) and facts (such as hours, quantities, and dollar amounts) that each report will use. Document the definitions so that everyone reads the numbers the same way.
  • Extract data from source systems and organize it into clean, structured Excel datasets that refresh reliably and feed pivot tables, so that reporting no longer depends on manual rework or one-time extracts.
  • Build and maintain pivot tables that let leadership analyze results by period, department, client, person, and other dimensions without requesting a new report each time.
  • Document data sources, refresh steps, formulas, and report logic so that reporting can be maintained and, if needed, handed to someone else.
  • Validate reports against source totals before they are shared, and note any differences, assumptions, or data limitations.

Payroll Reporting

  • Extract payroll data from the payroll provider's reports, including the payroll register, into a structured format, and build and maintain a payroll compendium that leadership can analyze year to date and by pay period.
  • Report gross pay, net pay, and earnings types (regular earnings, bonus, commission, incentive, and other) by employee, department, and period, and reconcile totals to the payroll provider's company-level summary.
  • Support compensation and cost analysis requested by leadership, handling the data with strict confidentiality.

Finance Reporting

  • Convert accounting data and projections from the outsourced accounting team into pivot-ready form, and build finance reports such as profit and loss by period, expense by function, and actual versus projected results.
  • Build and maintain expense and projection models that separate fixed and variable costs by function, and update them as periods close.
  • Support the periodic forecasting process by assembling revenue and cost views from Projector and accounting data, comparing forecast to actual, and explaining variances.
  • Identify cost, margin, and cash trends and bring them to leadership's attention with a view of what is driving them.

Sales and Lead Reporting (Salesforce)

  • Build and maintain Salesforce reports and extracts covering leads, MQLs, SALs, and SQLs, conversion by lead source and type, and the history of lead assignments by sales executive.
  • Report bookings by period, client, and sales executive, separating new logos, follow-on work, and change orders, and track average deal size and win rates over time.
  • Report pipeline by stage and expected close period, and highlight data gaps (such as missing stages, dates, or sources) to Revenue Strategy and Operations so that records are corrected.
  • Support Salesforce data cleanup so that reports are based on complete, consistent records.

Projector PSA Reporting

  • Build reports and extracts from Projector PSA on revenue by client, project, resource, and week or period; hours; budgets versus actuals; utilization; and project stage and pipeline category.
  • Maintain the Excel workbooks that use Projector data, including revenue forecasts and by-client views, keep their pivot tables and totals accurate, and investigate unexpected changes.
  • Work with Revenue Strategy and Operations and Service Delivery leadership to understand how projects are set up and scheduled in Projector so that reports reflect how the business actually works.

Analysis and Communication

  • Analyze trends and explain their drivers, such as changes in lead volume and conversion, average deal size, follow-on work, utilization, margin, and cost.
  • Summarize findings in clear written notes and simple visuals that a business leader can read quickly, and answer follow-up questions.
  • Use AI tools approved by Ultra, such as Microsoft Copilot, to speed up analysis where appropriate, and verify the results before sharing them.
  • Respond to ad hoc requests, meet reporting deadlines tied to the company's weekly and period cycles, and tell leadership early when data is late, incomplete, or unreliable.

Reporting Scope

The analyst owns the accuracy, documentation, and usability of the reports and datasets assigned to the role. Source systems remain with their business owners: Revenue Strategy and Operations for Salesforce data and sales reporting definitions, Revenue Strategy and Operations and Service Delivery leadership for Projector PSA, the outsourced accounting team for accounting records, and Ultra's HR and operations team for payroll. The analyst does not make accounting entries, change payroll, or approve financial decisions; the role provides the reporting and analysis that informs them.

Required Knowledge and Qualifications

  • Advanced Microsoft Excel skills, including pivot tables, structured tables, Power Query or other data connections, lookup functions (such as XLOOKUP or INDEX and MATCH), conditional formulas (such as SUMIFS), data cleaning, and charts.
  • Demonstrated ability to organize large data sets (tens of thousands of rows) into structured, refreshable models and to keep them accurate over time.
  • Experience analyzing business data and presenting findings to executives, including explaining what changed and why.
  • Working knowledge of financial data, including profit and loss reporting, general ledger accounts, and payroll data, and the ability to reconcile reports to source totals. Familiarity with QuickBooks reports is helpful.
  • Experience building reports and dashboards in Salesforce and extracting lead, opportunity, and booking data, with an understanding of the lead-to-opportunity sales funnel.
  • Familiarity with reporting in Projector PSA, including revenue, hours, budget, and utilization reports. Experience with a comparable professional services automation tool may be considered for a candidate who can demonstrate the ability to learn Projector quickly.
  • Strong attention to detail, with the habit of checking numbers against the source and questioning results that look wrong.
  • Clear written and verbal communication, and the ability to translate business questions into data requirements.
  • Ability to work independently as a contractor, manage time and priorities, and deliver on agreed dates.
  • Discretion and integrity with confidential payroll, compensation, financial, and client information.
  • Bachelor's degree in finance, accounting, business, information systems, or a related field, or equivalent relevant professional experience.

Preferred Qualifications

  • Experience in professional services or consulting, where utilization and project revenue are tracked closely.
  • Experience with Power BI or a similar analytics tool, and basic SQL.
  • Experience with payroll provider reports (for example, TriNet) and QuickBooks.
  • Experience with FP&A work, such as budgeting, forecasting, and variance analysis.
  • Experience using AI assistants such as Microsoft Copilot for analysis, with careful validation of the results.
  • Experience with Microsoft 365 and SharePoint.

Performance Expectations

Performance is assessed through the accuracy of reports against source data; delivery by agreed dates; whether datasets refresh reliably and are documented well enough for others to maintain; how well leadership can use the reports on its own; responsiveness to requests; and the quality of the insight that explains the results. Priorities, deliverables, and timelines are agreed with Ultra leadership in the statement of work, beginning with an initial build phase.

Supervisory Responsibilities

None. This role has no direct reports.

Work Environment and Expectations

Ultra is a remote organization. Contractors are expected to maintain a reliable internet connection, be available during agreed working hours with reasonable response times, and comply with Ultra's requirements for confidentiality, conduct, and data privacy and security. A signed subcontractor agreement and nondisclosure agreement and completed onboarding are required before system access is granted.
This role has access to payroll, compensation, and financial information, so access is limited to the systems and reports needed for the work. Company and client data may be used only with tools approved by Ultra and may not be placed in unapproved external or AI tools. No client travel is expected, although occasional participation in virtual company meetings may be requested. Occasional work outside regular hours may be needed around period close or for urgent reporting deadlines.
